Job description:
The position will deliver a high standard of customer focused service and trauma informed reception skills to ensure a supportive and respectful experience for all clients. They will undertake a wide range of clerical and administrative functions in accordance with established policies and procedures and will provide general administrative and clerical support to varied staff across the Department of Justice.

Hours per fortnight
73.50 hours per fortnight - flexible options available.
Duties
- Warmly welcome clients, stakeholders and visitors and deliver exceptional, trauma informed customer service, responding appropriately to client’s needs and inquiries, adapting communication to meet the needs of diverse clients.
- Monitor and manage building access, ensuring only authorised personnel and visitors enter the premises, in line with security and safety protocols including visitor sign in and out procedures and reporting any unusual activity.
- Manage communication channels, including telephone, email and in person enquiries, ensuring timely and appropriate responses, using initiative, understanding and discretion to resolve more complex issues or problems.
- Handle sensitive client information with a high level of confidentiality, maintaining compliance with privacy and data protection standards.
- Schedule and manage appointments or meetings, ensuring smooth coordination between staff and clients and support office administration tasks, including filing, scanning and emailing.
- Co-ordinate and ensure timely distribution of incoming and outgoing correspondence and deliveries, liaising with maintenance, courier and delivery providers as needed.
- Actively participate in and contribute to the organisations work health and safety processes, including the development and implementation of safety systems, improvement initiatives and safeguarding practices for vulnerable people and related training.
