Job description:

As part of the Tasmanian State Service, the Executive Officer is responsible to coordinate the flow of information and requests between departments and Ministerial offices, to ensure that all information meets specified standards, requirements, and timeframes. Prepare and review documentation, provide advice and guidance to ministerial and departmental staff in relation to document preparation, clearance requirements and timeframes and undertake duties to support the efficient and effective operation of the offices.

Duties

  1. As primary point of liaison between a department and the office of a Minister regarding the movement of documents, coordinate the flow of documents;
  2. Liaise with departmental and ministerial staff to ensure the timely preparation of correspondence, briefings, event packages, parliamentary information, and other documents;
  3. Under the guidance of an Office of the Secretary supervisor, implement and evaluate policies, systems, and processes to maintain and improve standards of service delivery;
  4. Review documents with respect to adherence to the style guide, grammar and fit-for-purpose content before they are presented to advisers and/or Minister;
  5. Provide guidance, assistance, and recommendations to departmental and ministerial staff with respect to the preparation and presentation of advice and documentation;
  6. Ensure documents are managed and transmitted in accordance with approved information management systems and requirements;
  7. Develop effective networks and sound working relationships with a range of stakeholders that are client focussed, proactive and responsive;
  8. Undertake other duties that may be required to assist in the effective and efficient administration of the Minister’s office;
  9. The incumbent can expect to be allocated duties, not specifically mentioned in this document, that are within the capacity, qualifications and experience normally expected from persons occupying positions at this classification level.
