Job description:

The Surgical and Perioperative Services team is looking for an Administrative Officer to provide high-level secretarial and administrative support

The Team:

Surgical and Perioperative Services administrative teams engage in a wide range of duties and offer plenty of opportunity for professional development and growth. Our stream promotes a positive working environment and has been actively working towards embedding a problem solving and can-do attitude culture. We are seeking applicants who have the ability to demonstrate initiative, positive and enthusiastic attitude, multitasking tasking skills, and the ability to work both autonomously independently and as part of a team. The successful applicant will primarily liaise with internal stakeholders such as executives and a wide range of hospital staff. Duties include, however are not limited to:

  • Utilising Microsoft packages
  • Utilising software such as iPM, DMR and PageUp
  • Co-ordinating shared mailboxes
  • Co-ordinating and tracking complaints
  • Diary management
  • Progressing payroll
  • Meeting preparation and minute taking

Within Surgical and Perioperative Services, we promote productivity in conjunction with upskilling of staff to enable progression within the stream.

The Role:

Provide high-level secretarial and administrative support for Surgical and Perioperative Services, including the management of non-clinical, financial and administrative information.

Support the day to day running of Surgical and Perioperative Services and ensure the efficient flow of information and correspondence relating to the activities of the Department.  

Coordinate, and assist in the delivery of, a wide range of administrative services within the Surgical and Perioperative Services areas.

Take responsibility for work assignments and provide operational, administrative and project support and coordination as directed by the Nursing and Clinical Directors of Surgical and Perioperative Services.

You will need:

  • Sound knowledge and experience of administrative practices and the utilisation of contemporary computer applications together with high-level minute taking and meeting organisation skills.
  • High-level written and verbal communication skills including the ability to liaise with a wide range of internal and external clients in a sensitive and confidential manner with an understanding of the legal requirements relating to confidentiality. 
  • Demonstrated ability to organise, set priorities and meet deadlines together with a demonstrated capacity to handle a number of tasks concurrently in a demanding work environment. 
  • Provide high-level administrative support to Nursing and Clinical Directors of Surgical and Perioperative Services, including the provision of a high-level reception service for the area, ensuring sensitive and confidential handling of both routine and more complex enquiries.
  • Assist with basic research and coordinate background notes, briefing material and other information for Directors of Surgical and Perioperative Services by ensuring timely and confidential handling of routine ministerial correspondence and complex documentation.

Details of appointment:

Permanent part time, day worker position, working 60.8 hours per fortnight, commencing as soon as possible.

*notwithstanding hours to be negotiated with the successful applicant.

Applicants should note that, for a period of twelve months from the date of publication, this selection process may be used to fill subsequent or similar full time, part time, and casual vacancies.

Salary: $73,811 to $79,779 per annum (Pro rata). Our Employer 12% superannuation contribution is on top of this amount.

  • Salary range is in accordance with Public Sector Unions Wages Agreement 2022.
