Job description:

The Trade Officer is responsible for supporting the Commercial Manager – Tourism in executing the Trade Strategy, engaging with trade partners and education groups, managing bookings and client service delivery, and supporting sales and marketing activities.

Duties

Work is performed under general direction. Within the scope of the role, flexibility, innovation and initiative are expected in providing alternative solutions to operational issues and challenges. The work requires detailed planning, organising, directing, controlling and coordinating of client needs and requests in line with internal stakeholders. Following is an outline of the key deliverables/duties for this position:

  • Communication. Be proficient in written to a professional standard and high-level interpersonal skills to communicate with accuracy, integrity and respect.
  • Account Management. Be the primary point of contact for external trade partners to coordinate all trade and account related inquiries. Be proactive in communication and stakeholder management to develop and grow commercial accounts in line with Trade Strategy. Seek client and industry feedback to relay back to Commercial Manager.
  • Client Service. Monitor and respond to emails and calls received from trade partners, or internal stakeholders about bookings, catering, accounts or general inquiries. Liaise with the reservations team that are responsible to making the bookings.
  • Administration. Ensure accuracy of all documents filing and databases including contact lists, contracts, procedures etc.
  • Computer skills. Competence in MS Excel and experience in learning and using new software systems.
  • Reporting. Prepare regular reports to monitor weekly/monthly performance in line with targets and KPI’s.
  • Research and Data Analysis. Analyse booking and visitation data to identify trends and opportunities. Be abreast of industry research to consider.
  • Stakeholder Engagement. Represent PAHSMA at industry events and with external stakeholders as required.
  • Collaboration. Liaise and coordinate with internal stakeholders to maintain a positive, collaborative, professional, respectful, supportive and high performance workplace culture across PAHSMA that encourages people to connect and thrive in the workplace.
  • Agent Portal. Be the point of contact for trade agents to set up and manage access to PAHSMA’s digital systems, includes liaising with PAHSMA digital team.
  • Problem Solving. Ability to think clearly, communicate effectively, plan and collaborate to resolve issues or achieve outcomes.
  • Project Management. Contribute within project teams as required.
  • Education. Manage the email inbox and telephone inquiries to process bookings and client service for school group bookings across both PAHSMA sites. Prepare weekly education-bookings report and contribute within Education project teams when required.
  • Key Performance Indicators (KPIs) will be agreed prior to the commencement of the position.
