Job description:

In this role, you will provide professional, client-focused reception and administrative support within Hospitals North, Northwest and South. This position will be the first point of contact for clients, staff and the public, undertaking appointment scheduling, data entry, records management and general clerical duties.

The Team:

The Administrative Assistant Casual Pool team at the Department of Health Tasmania provides an efficient client focused front line reception and clerical support to clinical services and the general public, across a range of health services and settings. Working collaboratively with clinical and non‑clinical teams within Statewide Mental Health Services, Administrative Assistants contribute to the smooth day‑to‑day operations through tasks such as reception services, data entry, appointment coordination, records management, and general administration.  The team values adaptability, professionalism, and teamwork, supporting continuity of services while maintaining confidentiality, accuracy, and a strong focus on quality patient and stakeholder support.

The Role:

  • Provide confidential, client focused reception and clerical services to internal and external clients and personnel.
  • Communicate with Agency staff and external service providers for efficient and effective support of client care as required.
  • Maintain electronic appointment scheduling systems and office equipment including waitlists and planned appointments management.
  • Ensure relevant documentation is completed by clients and client information is entered into an electronic database.
  • Provide a first point of contact for clients, staff or public enquiries and direct incoming telephone calls to relevant staff. Arrange for receipt and return of patient records for scheduled clinics in accordance with the standards applying to medical record management policy.
  • Provide effective finance processing of Medicare, workers compensation, MAIB and DVA and other compensable client schemes as required.
  • Participate in data collection and entry and produce relevant reports as required within the unit.
  • Provide ongoing support, training and orientation on administrative processes to new and relief staff as required.

Please note that the casual work hours are weekdays only. 

You will need:

  • Demonstrated knowledge of, and ability to maintain, electronic appointment scheduling and information management systems.
  • Demonstrated knowledge of, and experience in, contemporary office administration practices including reception and booking procedures, with the flexibility to prioritise workload in order to function efficiently and effectively in a multi-disciplinary team environment.
  • Well-developed interpersonal and communication skills with the ability to relate effectively, courteously and discreetly with clients, external service providers and all staff including clinical personnel.

Details of appointment:

Fixed term, casual, position working as and when required, commencing as soon as possible for approximately 12 months. 

Applicants should note that, for a period of twelve months from the date of publication, this selection process may be used to fill subsequent or similar full time, part time, and casual vacancies.

Salary: $66,049 to $70,993 per annum (Pro rata). Our Employer 12% superannuation contribution is on top of this amount.

Plus 25% Casual Loading - Equivalent of $41.62 to $44.73 per hour.’

  • Salary range is in accordance with Public Sector Unions Wages Agreement 2022
