Period of Appointment

ASAP for a period of 24 months

Hours per fortnight

73.50 hours per fortnight - flexible options available. 

Duties

Undertake the provision of office support services to the Office of the Independent Regulator, including:

  • being the first point of contact for visitors,
  • managing mail distribution,
  • ordering office supplies and maintaining office supply stock
  • receipting deliveries
  • scheduling meetings/workshops
  • taking, preparing, and distributing meeting minutes
  • raising IT requests through the internal portal
  • providing administrative support for contracts and assisting with coordinating contractors
  • maintaining efficient and detailed record keeping, including securing sensitive documents with password protection and/or restricting access
  • Coordinate conference and travel arrangements for staff, including organising itineraries, accommodation, and conference registrations.
  • Maintain efficient and detailed record keeping, including maintaining information systems.
  • Preparation of papers, minute taking, action item reporting and follow up and undertaking administrative and logistical work in support of projects.
  • Organise, coordinate and plan the maintenance of the vehicle fleet.
  • Undertake research to make recommendations for operational improvements to improve office efficiency, including technological improvements.

Essential Requirements

  • A Current Tasmanian Registration to Work with Vulnerable People.

Desirable Requirements

  • A Current drivers’ licence.

Pre-employment Checks

The Head of State Service has determined that the person nominated for this vacancy is to satisfy a pre-employment check before taking up the appointment, promotion or transfer.

  1. Pre-employment (National Police Record) checks for: Arson and fire setting, violent crimes and crimes against the person, sex-related offences, drug and alcohol related offences, crimes involving dishonesty, deception and/or conspiracy, making false declarations, malicious damage and destruction to property, serious traffic offences, crimes against public order or relating to the Administration of Law and Justice, Executive or the Legislative Power.
  2. Disciplinary action in previous employment.
  3. Identification check.
